Privacy Notice
Last updated 1 October 2026This notice explains what Trestis Logic does with personal data. It covers three separate things: information about people who visit this website or get in touch, information about people Trestis Logic emails first, and information Trestis Logic handles on behalf of client businesses.

Trestis Logic is a sole trader business based in North West London, providing automated response and administrative systems to estate agents, letting agents, mortgage brokers and financial advisers.

This website
This website sets no cookies and loads nothing from third-party servers. Fonts and images are served from this site directly.
Counting visits: each page you open sends a short note to this site's host, Netlify: the page, the time, the site that linked you here, phone or computer, and the town and country Netlify estimates from your IP address. The IP address itself isn't kept, nothing is stored on your device, and no profile is built. The notes show whether the site is read, including after the emails Trestis Logic sends, matched by town and time, never by name. Held by Netlify in the US, never sold or shared, deleted after 12 months. Lawful basis: legitimate interests.
Standard server logs may record your IP address and browser type as part of normal web hosting. These are held by the hosting provider, used only for security and diagnostics, and not used to identify you.
If you get in touch
What is collected: your name, email address, phone number, business name, and anything else you choose to tell Trestis Logic.
Why: to reply to you, to arrange and hold a call, and to keep a record of the conversation if it leads to work.
Lawful basis: legitimate interests, specifically responding to a business enquiry you initiated.
How long: enquiries that don't lead to work are deleted after 12 months.
If you use the form on this site
The form collects your name, firm, email, optional phone number and your quiz answers. It's used only to reply to you and make the video you asked for (legitimate interests). Submissions are stored by the website host, Netlify, in the US, and are deleted after 12 months if nothing comes of them.
If Trestis Logic emailed you first
Trestis Logic emails a small number of named people at estate agents, letting agents, mortgage brokers and financial advisers it hasn't dealt with before. If you received one of those emails, this section is for you.
What is held: your name, job title, work email address, the firm you work for and, where your firm publishes one, a work phone number, with notes about the firm taken from public sources. No home addresses and no personal phone numbers or email addresses.
Where it came from: Apollo (apollo.io), a database of business contacts; Companies House; and your firm's own website, with public reviews and job adverts about the firm.
Why: to tell the person who decides about a service that may fit their firm. At most three emails, each about your own business.
Lawful basis: legitimate interests, specifically introducing a relevant service to a business. These emails go only to limited companies and limited liability partnerships. Sole traders and ordinary partnerships are emailed only if they have agreed to it.
Who sees it: it is never sold, and never passed to anyone else for their own marketing. It is held only with the providers Trestis Logic uses to run its own email and records.
How to opt out: reply to any of the emails to say you'd rather not hear again, or write to mike@trestislogic.co.uk. You don't need to give a reason, and the emails stop. Your name, firm and email domain then stay on a do-not-contact list, so that you are not emailed again.
How long: while there is a conversation going. If you never reply, a record of what was sent is kept so that you aren't approached again as if new.
Work done for clients
When Trestis Logic builds and runs a system for a client business, that client remains the data controller for their own customers' information. Trestis Logic acts as a data processor, working only on the client's documented instructions under a separate written data processing agreement.
In practice this means:
- Each client signs in once, so the system can send from their own mailbox or, where they use WhatsApp, their own WhatsApp Business number, and nothing else. Where a job needs to read something, such as new enquiries, the client sets a rule that copies just those emails to an address Trestis Logic monitors. On WhatsApp, the system reads the messages sent to the client's WhatsApp Business number so it can reply to them.
- Those emails may contain personal data about the client's own customers: names, contact details, property addresses, enquiry content.
- That data is used only to operate the system the client has asked for: sending replies, issuing reminders, and reporting back to the client.
- It is never used for Trestis Logic's own marketing, never sold, never used to train anyone's models, and never shared beyond the sub-processors listed below.
If you are a customer of one of Trestis Logic's client businesses and want to know how your data is used, contact that business directly, since they are the controller and hold the relationship with you. Trestis Logic will assist them in responding.
When a client leaves, they get an export of their data first. Their operational data is then deleted within 30 days of cancellation, and the system's run logs are pruned after about 14 days. Invoices and payment records are kept for six years to meet HMRC record-keeping requirements, then deleted.
Sub-processors
Running these systems involves the following third-party providers, each with their own terms and safeguards:
- Google, where used, for email and documents
- A hosting provider for the UK-based server
- A document-check provider, which checks documents uploaded by a client's customers
- A text-processing provider, which reads incoming emails
- An SMS and telephony provider, for texts to a client's team
- A booking tool, for appointments
- Meta Platforms Ireland (WhatsApp Business Platform), only where a client uses WhatsApp: sending and receiving WhatsApp messages
Client businesses receive a named list of every provider in use as a schedule to their data processing agreement, and are told in writing before that list changes.
The automation engine itself runs on a UK-based server, set up and controlled by Trestis Logic, not on a third-party automation platform.
Some of these providers process data outside the UK. Where that happens, appropriate safeguards are in place for the transfer.
Security
Access is restricted to the sole operator of the business. Systems are hosted on access-controlled infrastructure, credentials are stored in an encrypted manager, and data is retained only for as long as the client relationship requires.
Your rights
You have the right to ask for a copy of your personal data, to have it corrected or deleted, to object to or restrict processing, and to have it transferred elsewhere. Requests to mike@trestislogic.co.uk, answered within one month.
If you're unhappy with how your data has been handled, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
